About this policy

All Things in Moderation (ATIM) is owned and run by Australian Community Managers Pty Limited (ACM), ABN 63 643 352 210. When this policy says "we" or "us", it means ACM running ATIM.

This policy explains what personal information we collect through the ATIM website, registrations, speaker submissions and the event itself, and how we use, share and protect it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and the Spam Act 2003 (Cth) for our emails. ATIM is a global event, so we also respect the rights of people in other places, including under the EU and UK GDPR where they apply.

ATIM is for adults. We don't knowingly collect information from anyone under 18.

What we collect

We collect only the minimum we need to run ATIM, and most of it comes directly from you.

When you register or buy a ticket: name, email, organisation, role, country, ticket type, and any access or privacy needs you tell us about. Tickets are sold and paid for through Zoom Events. Zoom and its payment processors handle your payment details; we never see or store your card or bank details. We only receive confirmation that you’ve paid and which ticket you bought.

When you sign up for updates: name and email address.

When you submit a session proposal: name, contact details, organisation, bio, links, your proposal, and any requirements (such as presenting under a pseudonym).

When you take part in the event: your display name, chat messages, questions, reactions and attendance in sessions. Sessions are recorded by default for on-demand viewing. Speakers can present under a pseudonym, and participants never have to be on camera.

When you contact us or make a report: what you choose to tell us. Reports under our Code of Conduct can be made anonymously.

When you visit our website: basic usage data collected through cookies by our website platform, such as pages viewed and device type.

Some things you share may be sensitive, such as health or access needs. We only collect sensitive information with your consent, and only use it to support your participation.

How we use it

We use registrant details only to run ATIM and to communicate with you about it. That includes:

  • confirming your registration and giving you access to sessions and recordings

  • sending event information before, during and after ATIM, such as reminders, recordings, surveys and post-event follow-up

  • reviewing session proposals and working with speakers

  • supporting access needs and keeping the event safe, including acting on Code of Conduct reports

  • understanding attendance and feedback so we can improve future events

Mailing list. ATIM updates are sent through the Australian Community Managers mailing list. We only add you to it if you sign up directly, such as through the ATIM or ACM website, or ask us to. Registering for ATIM does not add you to the mailing list.

Every marketing email includes an unsubscribe link, and we act on unsubscribes within five working days. You'll still receive essential messages about an event you've registered for.

We don't use your information to make automated decisions that significantly affect you.

Event partners

We share your details with ATIM partners only if you choose to. When you register, you can tick a box to receive communications from that year's partners. It's off by default, and saying no doesn't affect your registration.

If you opt in:

  • we share your name, email, organisation and role with that year's partners, and nothing else

  • every partner is vetted by us and signs an agreement that requires them to comply with privacy, spam and other applicable laws

  • partners must include an unsubscribe option in every message, and you can unsubscribe from any partner at any time

  • you can also tell us to stop sharing your details with partners in future

Once a partner has your details, they handle them under their own privacy policy. If you have a concern about a partner's use of your information, contact us and we'll follow it up.

Who else sees it and how we protect it

Service providers. We use trusted providers to run ATIM, including Zoom Events (our event, ticketing and payments platform), our email platform, our website host and online forms. They handle your information only to provide their service to us.

Overseas storage. Some of these providers store or process information outside Australia, mainly in the United States. We choose providers with strong security and privacy protections.

Speakers and other attendees. If you speak, your name, bio and session details are published with the program. When you take part, you control what other attendees see: you choose your display name (you don't have to use your real name), what goes in your event profile, and whether your camera and microphone are on. Whatever you post in chat is visible to others in that session. The ATIM team can see your registration details.

When the law requires it. We may disclose information if required or authorised by law.

We don't share your information with anyone else for marketing, and we only share it with partners if you've opted in.

Security. We store information with reputable platforms, limit access to the ATIM team, and use strong passwords and two-factor authentication. If we become aware of a data breach impacting you, we'll notify you and the Office of the Australian Information Commissioner (OAIC), as the law requires.

How long we keep it. We keep registration and submission records for as long as we need them to run ATIM, understand our audience over time, and meet our legal obligations, such as keeping financial records. We review our records regularly, and delete or de-identify information we no longer need. Mailing list details stay until you unsubscribe.

Your choices and rights

You can:

  • access or correct the information we hold about you

  • unsubscribe from any of our emails, using the link in the email or by contacting us

  • withdraw consent for partner sharing, or for the use of your name or image, at any time

  • ask us to delete your information, unless we need to keep it by law

If you're in the EU or UK, you also have rights under the GDPR, including to object to processing and to receive a copy of your data. We rely on your consent, and on what's needed to provide the event you've registered for.

Questions and complaints. Contact Australian Community Managers: team@australiancommunitymanagers.com.au.

We'll respond within 30 days. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner on 1300 363 992.

Changes to this policy. We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated.
